AI Receptionist Privacy Notice

This notice explains how Always Open Desk handles information submitted through the hosted AI receptionist product. It supplements the main website privacy policy.
Information collected
The form or AI chat may collect a visitor's name, email address, phone number, requested service, job description, service area or ZIP code, requested timing, chat transcript, IP-derived anti-spam identifier, browser user agent, and submission time.
How the information is used
Information is used to deliver the inquiry to the participating service business, create a lead summary, prevent abuse, troubleshoot the service, and maintain business records.
Use of artificial intelligence
Chat messages, job description, requested service, location or ZIP, and timing may be sent to OpenAI to answer questions, continue the conversation, and prepare a lead summary. The plugin is designed not to send the visitor's name, email address, or phone number to OpenAI. Businesses and users must not submit highly sensitive data such as Social Security numbers, payment card details, medical records, passwords, or government identification numbers.
Service providers
Information may be processed by the WordPress hosting provider, email delivery provider, OpenAI for AI text processing, and Stripe for checkout and subscription billing. Each provider handles data under its own terms and privacy practices.
Retention and deletion
Lead information remains in the WordPress database until it is deleted by an administrator or removed under the applicable retention process. Email copies may remain in recipient mailboxes. Contact the business that received the inquiry or the support address below to request access or deletion, subject to legal and operational requirements.
No automated final decisions
The AI lead-quality label is an organizational suggestion. A person should review the request and make all final service, pricing, scheduling, safety, and eligibility decisions.
